Terms And Conditions

1. Introduction - These Terms and Conditions govern the purchase and use of tickets sold through our website. By purchasing a ticket, you agree to comply with these terms.

2. Ticket - Types and Usage We offer two types of tickets:

  • Event Ticket: Grants entry to the designated ‘World Championship slow Pipe Smoking’ (called ‘event’ from now).

  • Gala Dinner Ticket: Grants access to the gala dinner. If the ticket holder cannot attend, no alternative arrangements or refunds will be made.

3. Attendance Restrictions

  • The event is a closed event, and spectators are not allowed. Only ticket holders may attend.

  • Guests may not bring additional attendees to the event unless expressly authorized by the event organizers.

4. Transportation

  • Transportation to and from the event will be organized via a bus departing from Van der Valk Hotel Eindhoven.

  • Attendees will be assigned a bus number and are required to travel on the designated bus. Changes to assignments are not permitted without approval from the event organizers.

  • If a ticket holder misses the bus to the event, no refunds or alternative transport arrangements will be provided.

  • If a ticket holder misses the bus returning to the hotel after the event, he must arrange his own transportation at their own expense.

5. Seating Arrangements

  • Attendees will be assigned a table number for the event. Changing tables is not allowed without explicit permission from the event organizers.

6. No Refund Policy - All ticket sales are final. Tickets are non-refundable under any circumstances, including but not limited to personal scheduling conflicts, travel issues, unforeseen emergencies, or force majeure events.

7. Access to Event Content - If a ticket holder is unable to attend the event in person, he will receive access to event materials or content as specified on our website. This does not apply to gala dinner tickets.

8. Photography and Image Rights - By purchasing a ticket, you acknowledge that photographs and videos may be taken during both the event and the gala dinner. These images may be used by us for promotional, marketing, and documentation purposes. By attending, you grant us the right to use, reproduce, and distribute these images without further notice or compensation. If you do not wish to be photographed, please contact us in advance to explore possible arrangements.

9. Smoking and Clothing Damage Disclaimer - We are not responsible for any damage to clothing, accessories, or other personal belongings caused by smoke, ash, or related substances. Attendees should take necessary precautions if concerned about potential damage.

10. Hotel Rules and Conduct

  • The gala dinner will take place at the Van der Valk Hotel Eindhoven, and attendees are required to follow all instructions provided by hotel staff and event organizers.

  • Guests must comply with hotel policies regarding behaviour, safety, and property use. Failure to do so may result in removal from the premises without refund.

11. Force Majeure - We are not liable for any delay, cancellation, or disruption of events due to circumstances beyond our reasonable control, including but not limited to natural disasters, acts of government, strikes, epidemics, or other unforeseen circumstances. In such cases, ticket purchases remain non-refundable.

12. Changes and Cancellations - We reserve the right to modify event details or cancel events as necessary. In the case of event cancellation, appropriate alternatives will be communicated to ticket holders.

13. Liability Disclaimer - We are not responsible for any losses, injuries, or damages incurred in connection with the purchase or attendance of our events.

15. Overselling and Ticket Validity - In the case of accidental overselling, tickets purchased last will be deemed invalid, and the affected ticket holders will receive a full refund of their purchase. We will notify affected customers as soon as possible if overselling occurs.

16. Currency Exchange and Extra Costs - All ticket prices are listed in the designated currency and do not include exchange fees. Any currency exchange fees or additional charges due to international transactions are the responsibility of the buyer. If the full ticket price is not received due to exchange rate discrepancies or unpaid bank fees, the buyer will be required to pay the missing amount plus an administrative fee before their ticket is confirmed.
